Understanding Microsoft Teams Architecture: A Comprehensive Guide


When setting up a team in Microsoft Teams, a lot more happens behind the scenes than meets the eye. While it might seem like a straightforward process to click “Create New Team,” the architecture that supports your team’s collaboration is intricate and robust. This guide will walk you through the essentials of Microsoft Teams architecture, helping you understand what’s happening in the background and how to optimize your Teams setup for efficiency and effectiveness.



What Happens When You Create a Team?

When you create a new team in Microsoft Teams, several key components are automatically generated in the background:

  1. Microsoft 365 Group: At the core of every team is a Microsoft 365 group. This group serves as the foundation for many of the collaborative tools and resources that the team will use. It includes a shared inbox, calendar, and other group-related features.

  2. SharePoint Site: Along with the Microsoft 365 group, a dedicated SharePoint site is created. This site is integral to managing and storing files associated with your team. Each channel within your team corresponds to a folder in this SharePoint site, ensuring that your files are organized in a way that aligns with your team’s structure.

  3. Document Library and Folders: The document library in the SharePoint site houses folders that are automatically created for each channel in your team. For example, the "General" channel will have its own folder where all files shared in that channel are stored.

  4. OneNote Notebook: A shared OneNote notebook is also created for the team. Every time a new channel is added, a corresponding section is created within this OneNote notebook, further supporting organized collaboration.

  5. Planner Integration: A new plan in Microsoft Planner is generated for the team, allowing for task management and planning. Although you can create multiple plans within the same team, it's important to note that Planner is not available for private channels, which could influence how you structure your teams and channels.


Understanding Channels and Tabs

Each channel you create in Microsoft Teams comes with a set of default tabs, including Posts, Files, and OneNote. These tabs are directly linked to the SharePoint document library and the OneNote notebook, ensuring that all content is categorized and easily accessible. While the basic setup is user-friendly, it’s essential to understand how these elements interact to avoid potential pitfalls.


For example, the Files tab in a channel is essentially a window into the corresponding folder in the SharePoint document library. If someone adds a file directly into SharePoint but outside of the channel’s folder structure, that file won’t appear in the Files tab within Teams. This can lead to confusion if team members aren’t aware of where to look for specific documents.


Private and Shared Channels: A Special Case

Private channels in Microsoft Teams operate a bit differently from standard channels. When you create a private channel, a separate SharePoint site and document library are established specifically for that channel. This ensures that the content within a private channel remains secure and only accessible to those with the appropriate permissions.


However, there are some limitations to be aware of. For instance, as mentioned earlier, you cannot use Planner within a private channel. If you require task management in a private setting, you may need to create a separate team altogether, which can add complexity to your overall architecture.

To maximize the effectiveness of Microsoft Teams, consider the following best practices:

  • Think Teams First: Before creating multiple SharePoint sites, shared drives, or using external tools like Dropbox, assess whether Microsoft Teams can meet your needs. A well-organized team structure within Teams can significantly reduce the need for external systems.

  • Minimize Complexity: It’s often better to have fewer, larger teams with well-organized channels than many small teams. This approach helps prevent fragmentation and makes it easier for team members to find the information they need.

  • Use Channels Wisely: Only create new channels when there is a clear need. Too many channels can overwhelm team members and make it difficult to keep track of important conversations and files.

  • Avoid Redundancy: Encourage your team to use Teams for all communication and file sharing. Relying on chat, OneDrive, or email for these purposes can lead to multiple versions of files and confusion over where the latest information is stored.

  • Leverage the Full Potential of SharePoint: Remember that the SharePoint site created with your team is a fully functional site. You can create pages, lists, and more within this site, giving you powerful tools to manage your team’s content.
